Cancellation and Refund Policy
This Cancellation and Refund Policy applies to services provided by Carbet Solutions unless an accepted project document states different terms.
Official Cancellation Notice
Cancellation and other important contractual notices must be sent to contacto@carbetsolutions.com unless an accepted agreement authorizes another method. Social-media messages, WhatsApp messages, calls, or informal chats do not replace official email unless Carbet Solutions expressly confirms in writing that the communication has been accepted as official notice. Carbet Solutions should confirm receipt by email.
Project Reservation and Initial Payment
A 50% initial payment is required to reserve project capacity and begin work. The initial payment becomes nonrefundable after Carbet Solutions begins scheduling, discovery, planning, design, development, content preparation, or other project work, subject to applicable law.
If Carbet Solutions has performed no work at all, any refund request will be evaluated based on the circumstances rather than under an absolute no-refund rule.
Client Cancellation of a Fixed-Scope Project
If a client cancels a fixed-scope project:
- The client remains responsible for approved work completed, work in progress, and authorized nonrefundable third-party expenses incurred through the cancellation date.
- The initial payment is applied to those amounts and is not automatically refundable.
- If earned fees and authorized expenses exceed the amount paid, the remaining balance is due.
- If the amount paid clearly exceeds completed work and legitimate nonrefundable expenses, Carbet Solutions may return the unearned portion.
- Drafts, production access, source materials, or incomplete deliverables do not transfer unless the parties agree in writing and all applicable fees are paid.
Final Payment Delivery and Launch
Unless otherwise agreed, the remaining 50% of a fixed-scope project is due before publication, launch, final transfer, or delivery of agreed production credentials or files.
Carbet Solutions will not automatically publish a website when affirmative launch authorization is required. If the client does not respond during the applicable five-business-day final review period, Carbet Solutions may consider the review stage complete for scheduling purposes, pause or reschedule launch, and move the project to later availability. Client delay does not indefinitely postpone payment due for completed or presented work.
Once an approved deliverable has been published, launched, downloaded, transferred, or placed into production, payments for that completed work are nonrefundable except where required by law.
Revision Rounds and Scope Changes
Two reasonable revision rounds are included unless the accepted project document states otherwise. One round means one consolidated set of feedback following review of a version. Unused rounds have no cash value. Additional rounds, changes in direction, and work outside the agreed scope may require additional fees and time. A client’s decision not to use an approved or completed deliverable does not create a right to a refund.
Monthly Services and Thirty-Day Notice
Monthly maintenance, marketing, or other ongoing service plans require at least 30 calendar days’ written notice to cancel.
Monthly services use complete monthly service periods rather than daily proration. If another monthly service period begins before the 30-day notice expires, that service period is the final payable month. Carbet Solutions continues providing the included service through that paid period. No new monthly payment obligation is generated after the final applicable paid service period.
Example: If a client pays on the first day of each month and gives notice on October 20, the 30-day notice continues into November. November is the final payable service period, and December is not payable. If valid notice is given on October 1 and the October service period satisfies the notice requirement, November is not payable.
Carbet Solutions does not automatically withdraw the final payment. The client must manually submit any final monthly payment using the private payment instructions provided by Carbet Solutions.
Monthly fees already paid are not prorated or refunded merely because the client chooses not to use available services during the notice period, except where required by law or agreed in writing.
Domain Hosting and External Services
Domain and hosting charges are not included by default. Clients generally own and pay those provider accounts directly. Cancellation of Carbet Solutions’ maintenance does not cancel client-owned hosting or automatically take the website offline. The client must keep the provider account active and paid.
Cancellation of Carbet Solutions’ services does not automatically cancel third-party subscriptions. The client is responsible for managing or canceling those services with the provider. Third-party charges, licenses, domain registrations, advertising spend, transaction fees, and other external expenses are nonrefundable by Carbet Solutions once incurred.
Handoff After Cancellation
After outstanding invoices are paid, Carbet Solutions will reasonably cooperate in handing off the client’s completed website, client-owned accounts, data, and available credentials under Carbet Solutions’ control. Carbet Solutions may remove its administrative access after handoff.
The client remains responsible for future hosting, maintenance, security, current backups, updates, and technical support. Migration or transition work outside the original scope may be billed separately if approved in writing.
Carbet Solutions retains its templates, reusable components, internal tools, processes, methods, working materials not identified as deliverables, and other retained intellectual property.
Cancellation or Suspension by Carbet Solutions
Carbet Solutions may suspend or cancel services for nonpayment, material noncooperation, unlawful or abusive activity, material breach, or circumstances making continued performance impractical or unsafe.
When suspension or cancellation results from client breach, Carbet Solutions may retain amounts earned and recover authorized expenses, subject to the accepted agreement and applicable law.
If Carbet Solutions ends a project for its own reasons unrelated to client breach and cannot provide paid services, it will calculate completed work and legitimate nonrefundable expenses and return any clearly unearned portion.
Payment Questions and Refund Requests
Clients may question an incorrect payment. Refund or payment questions must be sent to contacto@carbetsolutions.com and should include the client’s name, project name, invoice information, and reason for the request. Carbet Solutions will review the accepted agreement, work completed, payments received, approvals, and expenses before responding.
Nothing in this policy limits a right or remedy that cannot legally be waived.
